Office Coordinator (Mumbai)
About the Position:
We are seeking a highly organized and proactive Office Coordinator to join our dynamic team at our Mumbai studio. This junior yet critical role is perfect for someone who thrives in a fast-paced environment and enjoys ensuring the smooth day-to-day operation of the office while providing key administrative support to IT and HR departments. As the first point of contact for both visitors and staff, you will play an essential role in creating a welcoming, efficient, and well-organized workspace.
Key Responsibilities:
Front Desk & Office Management
- Greet visitors, answer incoming calls, and manage meeting room bookings.
- Maintain a tidy, functional, and well-stocked office environment.
- Oversee office supplies, pantry stock, and vendor coordination.
- Assist with scheduling office maintenance, cleaning, and security services.
Facilities & Admin Support
- Manage courier deliveries, mail, and in-office logistics.
- Assist with coordinating office events, team activities, and office decor.
- Help with travel arrangements and logistics for visiting staff.
- Support IT with basic troubleshooting, equipment tracking, and setup assistance.
HR & IT Support
- Assist candidates and new joiners on interview and joining days, providing a seamless experience.
- Escort candidates to interview rooms and guide new employees through their onboarding process.
- Manage and issue ID access cards for employees, ensuring proper documentation and coordination.
- Collaborate with HR, IT, and security to ensure smooth access management.
- Help IT in asset tracking and checking in external vendors.
- Handle basic administrative tasks to support seamless coordination between departments.
Culture & Connectivity
- Reinforce company culture by assisting with team engagement activities and celebrating company milestones.
- Maintain and update Screenly with key updates, announcements, and events to ensure the Mumbai team stays connected with other studios.
- Support initiatives that strengthen collaboration and connectivity between global teams.
Skills Required:
- Strong organizational skills with a keen eye for detail.
- A friendly, professional demeanor with excellent communication skills.
- Ability to multitask and problem-solve in a fast-paced environment.
- Previous experience in office coordination, administration, or front desk roles is preferred.
- Proficiency in MS Office Suite (Excel, Word, and Outlook).
